Privacy Policy

BenchApp collects anonymous statistics about your visit, like which pages you viewed. If you sign up, we take great care to keep your information safe. We never share it with third parties, except the service providers that help us run BenchApp and any AI assistant that a team manager or assistant manager connects to BenchApp and gives permission to.
If you manage or assist with a team and connect BenchApp to an AI assistant, or play on a team whose manager or assistant manager does, read BenchApp and AI assistants.
BenchApp and AI assistants
Team managers and assistant managers can connect BenchApp to an AI assistant such as Claude, ChatGPT or Cursor, to ask about their teams or have the assistant do things in BenchApp for them. This happens only if a manager or assistant manager chooses to connect.
A manager or assistant manager signs in to BenchApp and picks what the assistant may do. Viewing their teams is always included. Inviting spares, importing box scores, adding and editing players, and importing schedules are each a separate choice. The assistant acts as that person and can reach only the teams they manage or assist with.
When that person asks, BenchApp sends the assistant information about their teams: schedules, attendance, rosters (names, jersey numbers, positions and roles), stats and spare lists. If you play on a team whose manager or assistant manager uses an AI assistant, it can receive your name, jersey number, position, attendance and stats. BenchApp does not send the assistant passwords, payment details, or email addresses and phone numbers already stored in BenchApp. If a manager or assistant manager asks the assistant to add players, they give it those players' details.
Changes are made in two steps. The assistant first asks BenchApp for a preview of what would change, and is told to show it to the person who connected it and wait for their OK. The change can then be made only from that preview, which can be used once and expires after 15 minutes. Photos, screenshots and PDFs that person gives the assistant stay with the assistant. BenchApp receives only what the assistant reads from them.
For each connection we keep that person's BenchApp ID and name, the permissions they chose, and a sign-in key that is stored encrypted. A connection ends after 30 days without use, or after 90 days at most, and that person can then reconnect. What an assistant does with the information it receives is covered by the privacy policy of the company that runs it, not this one. To disconnect, remove BenchApp in the assistant's connector settings. This stops the assistant from using BenchApp, provided it discards the sign-in it was given; BenchApp doesn't yet offer a way to end a connection from inside BenchApp. Access the assistant already holds expires within an hour.
Measuring our visitors
We measure visitors to our website and app using analytics. This records pages viewed, how visitors arrived, and basic device and browser information.
The information helps us understand what parts of BenchApp are working well and how to improve the service.
Cookies
Cookies help distinguish between visitors and remember preferences. Analytics and similar services may use cookies to understand visits.
We do not use advertising cookies of any kind. Disabling cookies may prevent BenchApp account login from working.
Social networks
Some pages may include social features supplied by services such as Facebook or Twitter. Those services may know you viewed a BenchApp page if you use their services.
If you sign up for a service
When you sign up, we record personal information such as your name and email address.
We also log account and transaction history for accounting purposes and to monitor business activity.
Emails
We may send service notifications, invoices, newsletters, and reminders you requested. You can opt out of optional communication.
We never provide your personal information or email address to third parties except where they are employed to help deliver our services, and except for an AI assistant that a team manager or assistant manager connects to BenchApp and gives permission to (described above).
Online payment
We use Stripe to process online payments and subscriptions. We share information with Stripe only as needed to process payments.
BenchApp never has access to your credit card details.
Security
BenchApp takes precautions to prevent loss, misuse, or alteration of personal information, including SSL encryption, secured infrastructure, and restricted access.
No internet transmission can be guaranteed fully secure, and you are responsible for keeping your password confidential.
Data finding
BenchApp uses third-party APIs to enable service features and diagnose problems. For example, Google Maps may be used to gather coordinates for event locations.
Updates to this policy
We may update this privacy policy from time to time as technology and the service change. You can always check this page for the latest version.
